    Xero is excellent accounting software and a poor warehouse system — which is fine, because it was never meant to be one. The mistake is stretching it until stock, batches and multi-warehouse live in spreadsheets around it.

    BizBloqs takes the operational layer: locations, scanning, picking, counting, carriers. Xero keeps the books. Neither has to pretend to be the other.

    Xero knows what you invoiced. It cannot tell you which of your two warehouses the goods were in, which batch went out, or what is actually available to promise right now.

    WHAT IS XERO?

    CLOUD ACCOUNTING, HONESTLY SCOPED

    Xero is cloud accounting software used by hundreds of thousands of small and growing companies: invoicing, bank reconciliation, bills, reporting and a basic tracked-inventory feature.

    It has one stock position, no locations, no batches and no production. For a company shipping from one shelf that is enough; from the moment you have a second warehouse, a batch requirement or a picking team, it is not.

    GROW WITHOUT AN ERP MIGRATION FIRST

    Most companies that outgrow Xero are told they need a full ERP. In practice what they have outgrown is the warehouse, not the accounting — and replacing the ledger is the most disruptive way to fix a picking problem.

    Put BizBloqs underneath instead. If you do move to a full ERP later, you swap the ERP side of the interface; the warehouse, the locations, the scanning and the history stay exactly as they are.

    WHAT CHANGES ONCE XERO AND BIZBLOQS ARE CONNECTED

    The connection is a data agreement, not a development project. Orders, receipts, stock corrections and shipping confirmations move between Xero and BizBloqs as they happen.

    Multi-warehouse and multi-location on top of Xero

    Xero holds one stock number. BizBloqs holds the detail behind it — warehouse, zone, location, reservation — and reconciles the total back, so the accounting stays clean while the operation gets real.

    Batch, serial and expiry tracking Xero does not have

    Batch numbers, serial numbers and expiry dates are captured at handling and stay attached through picking and shipping, which is the difference between answering a recall and starting an investigation.

    Scanned picking, packing and shipping

    Operators pick on a handheld with barcode verification instead of a printed invoice, and the fulfilment confirmation is written back so Xero invoices what actually shipped.

    Available to promise, not just quantity on hand

    Availability accounts for what is reserved, what is inbound and what is damaged, so a webshop or a salesperson promises stock that exists rather than a quantity on hand from last week.

    Counts posted back as inventory adjustments

    Counting runs continuously and posts adjustments into Xero, so the inventory value in your accounts is based on counted reality instead of a yearly correction.

    An ERP move later without rebuilding the warehouse

    When a full ERP does become the right answer, you replace the ERP side of the interface and keep everything the warehouse has learned — processes, locations, scan history and reporting.

    How the Xero integration works

    Xero is accounting software, not a logistics ERP — and that is precisely why the combination works. Xero keeps the financial administration, BizBloqs runs the warehouse, and the two exchange only what each actually owns. We are explicit about the limits: rows that Xero does not carry are left blank below instead of dressed up.

    Xero — cloud accounting API

    OAuth 2.0 + Xero REST API, scoped per organisation

    You authorise BizBloqs once from inside your own Xero organisation; Xero issues a token and no password is shared. Items, approved purchase orders and approved sales invoices come down, and fulfilment, counts and corrections go back up. For companies that outgrow the accounting-only model — multi-warehouse, batch tracking, production — BizBloqs holds the operational layer, so a later move to a full ERP does not mean rebuilding the warehouse.

    What you need

    • An active Xero organisation with inventory items in use
    • A user who can authorise the BizBloqs app for that organisation
    • Agreement on which document triggers fulfilment (invoice, quote or external order)
    • Acceptance that production and assembly are handled in BizBloqs, not in Xero

    Which messages are exchanged

    This is the standard interface between an ERP and a WMS, exchanged with Xero as the events happen. Empty cells mean that direction is not part of the standard integration.

    Xero has no production, assembly or supplier-return documents, so those directions stay empty — that work is done and recorded in BizBloqs. Everything financial stays in Xero.

    This is our standard integration. An empty field means that message is not exchanged in that direction by default. Integrations can be modified or extended customer-specific through workflows.

    How we roll it out

    1. 1. Discovery

      We walk through your Xero administration and agree which objects are in scope and which system is leading per object.

    2. 2. Connection

      The technical connection to Xero is set up and validated against a test administration. Access is scoped to the objects in the agreed message set.

    3. 3. Mapping

      Item codes, units, warehouses, locations and reason codes are mapped. Deviations between the ERP and the physical warehouse surface here, not on go-live day.

    4. 4. Test round

      We run a full cycle on a test administration: purchase order in, receipt back, sales order in, delivery back, count and correction. Every message is checked in both systems.

    5. 5. Go-live

      Cut over on the live administration with monitored message queues. Failed messages are visible and can be replayed — nothing disappears silently.

    Integration FAQ

    Xero has no sales orders — how do orders reach the warehouse?

    By agreement per customer: usually approved invoices or quotes, and often orders coming straight from your webshop or marketplace channel into BizBloqs, with Xero invoicing afterwards. We fix the trigger during discovery so nothing is picked twice.

    Can we run multiple warehouses on Xero?

    Xero itself has a single stock position. BizBloqs holds the multi-warehouse, multi-location, batch and serial detail and reconciles the total back to Xero, which is how Xero customers scale without switching ERP first.

    What if we move to a full ERP later?

    The warehouse stays as it is. You swap the ERP side of the interface for the new system; the processes, locations, scanning and history in BizBloqs are untouched.

    Is stock in Xero updated in real time?

    Stock in the ERP is updated on every confirmed warehouse action — receipt, delivery, count, correction. The operational truth lives in the WMS, where stock is tracked per location, batch and serial; Xero holds the financial and administrative position.

    Which system is leading for item master data?

    Xero. Items, barcodes, units and weights are created and maintained in the ERP and downloaded into BizBloqs. Warehouse-specific attributes, such as pick location or storage class, are maintained in BizBloqs.

    What happens if the connection drops?

    Messages are queued and replayed. Warehouse work continues in BizBloqs during an ERP or network outage; the queue drains once the connection is restored, and failed messages stay visible instead of disappearing silently.

    Can we change the standard message set?

    Yes. The table above is our standard integration. Extra messages, different field mappings or customer-specific rules are handled through workflows in BizBloqs — we tell you upfront what is standard and what is custom work.

    How long does a Xero implementation take?

    The connection itself is a matter of days. The realistic timeline is set by mapping and testing, and by how clean your item master and location structure already are.
