WMS system: what it is, when you need one and what it returns
A WMS system (warehouse management system) directs the physical flow in your warehouse: receiving, putaway, replenishment, picking, packing, shipping and counting. The difference with an inventory module in your ERP is that a WMS does not record what happened — it tells the operator what to do next and validates it with a scan. Almost all of the error reduction sits in that difference.
What a WMS system actually does
A WMS system manages four things at once: where something is, how much of it there is, who needs to act on it and in what order. Every action is confirmed with a scan, so recorded stock and physical stock cannot drift apart.
- Inbound and receiving. Check arrivals against the purchase order, capture discrepancies on the spot, register batch or expiry data.
- Directed putaway. The system decides the storage location based on velocity, dimensions and storage conditions.
- Replenishment. Pick faces are topped up before they run empty, driven by thresholds rather than by someone noticing.
- Picking and packing. Optimised walking routes, batch and zone picking, scan validation per line.
- Shipping. Carrier selection, labels and shipment data without rekeying.
- Counting. Cycle counts per location instead of one annual shutdown.
WMS system versus ERP inventory module
Nearly every ERP tracks stock at article level, and that is exactly the limitation. An ERP knows you hold 240 units; it does not know that 180 sit on a pallet in racking, 40 in the pick face and 20 in a returns bin still awaiting assessment. The moment an operator has to search, multiple channels draw on the same stock, or batches and expiry dates come into play, the ERP module stalls and the numbers start living on paper.
When do you need a WMS system?
There is no magic order volume, but there are clear signals. Recognise three or more and the delay is costing you more than the system would.
- New staff need weeks before they can pick unsupervised.
- You consistently find variances at the annual stock count.
- Mispicks and returns get solved with extra checks instead of better direction.
- You sell across several channels and hold safety buffers to avoid overselling.
- Peak season is absorbed with overtime and temps, not with capacity.
- One person knows where everything is.
